Manager, Facilities & Building Services

The Manager, Facilities & Building Services will be responsible for ensuring the optimal functioning of building systems, including mechanical, electrical, fire and life safety, and elevators as well as providing leadership to existing Maintenance team and acting as liaison to contractors to facilitate renovation projects. The Manager, Facilities & Building Services has the overall responsibility for overseeing the implementation of policies, procedures and programs that will assure well-managed, well-maintained buildings and facilities, placing maximum emphasis on 100% uptime and leading the team in the positive response to the concerns and needs of the production operations.Job Duties Reviews, analyzes, and reacts to daily open work order reportAssists upper management to maintain budget for labor, materials, contractors, and other expensesRecommends ways to optimize resources and assigned budgetEnsures appropriate staffing of facilities, coaches and trains staff, and prepares performance reportsAssists in the management of competitive bids and development of project schedulesAnalyzes and approves invoices for materials, supplies, and services from contractorsPresents resource requests for specific projectsCompiles data and generates reports on cost trends, maintenance frequency, and other applicable factorsVisits all departments within area of responsibility frequently to stay apprised of conditions, and to obtain feedback regarding customer satisfaction with facilities services, and reports back to Director of Facilities.Establishes and continuously assesses the effectiveness of the internal controls within the team and compliance with NBCU policies and procedures.Ensures employees are trained on controls within the function and on NBCU policy and procedures.Acts as the liaison and single point of contact between the employee population and the building's Facility Management team for any escalated issuesEnsures adherence to Fire & Life Safety & local code compliance, OSHA training, and H&S Standards Survey with support of Environmental Health and Safety TeamEnsures implementation and execution of Capital projects; scope, schedule, budget (e.g. security and asset management projects)Forecasts long term programs and upgrades needed to maintain infrastructureWorks with vendors to increase operational effectiveness & efficiency of infrastructureMonitors governance and cost-saving initiativesSupports technology changes and integrationOversees day-to-day operations of facilities team, ensuring that all services are effectively delivered and facility needs are met including custodial, life-safety, engineering and general maintenance. Ensures that facility management staff consistently provides positive and prompt response to requests from the clients and building occupantsManages service contracts cost effectively and is responsible for all aspects of service delivery pursuant to these contracts, responsible for periodic and ongoing performance review, conducting RFP's, and assuring payments and invoicing match contract pricing. Initiates audit & control systems to ensure statutory, policy and contractual commitments are metLeads the facility management team in the supervision of maintenance programs relating to the interior and exterior conditions and appearance and operation of the facilitiesEnsures facility management staff implements ongoing contract review programs to constantly assess client, tenant and occupant needs and to assure problems are being solved promptly and to the mutual benefit of the production activitiesPrepares and delivers consolidated reporting and reviews of all financial reports (monthly) contracts, expenditures and purchase orders related to the facilityAssists in the development of capital budgets for the property including contributions towards a five- year plan of maintenance, facility improvement and cost reduction initiativesCoordinates the collection, analysis and reporting by the facility management team of statistical data and analysis to provide accurate and current assessment of facility management objectives, work order productivity, cost savings and improvements Reviews work order metrics and system to identify service gaps and recurring issues and provide corrective actionsManages and drives customer focus within all areas of operational activities and ensures that effective relationships are maintained with key client contactsDrives innovation through the development of best practices, operational and service efficiency as well as the identification of industry trends and tools that would contribute to our operational excellence goalsEnsures that all vendors comply with insurance requirements and coordinate all claims as requiredWorks under the direct supervision of the Director, Facilities Operations & Transp and is responsible for completing any other tasks as assigned by manager as needed
