Executive Assistant, Japan
Position Summary The Executive Assistant (EA) to the Managing Director (MD) of NBCUniversal Japan is a proactive, resourceful, and highly organized professional who plays a critical role in enhancing the effectiveness and productivity of the MD. This individual will serve as a key liaison between the MD and internal teams, senior leadership, and external stakeholders. The ideal candidate demonstrates exceptional communication skills, sound judgment, and a collaborative mindset, while managing a wide range of executive and administrative responsibilities. The role will be a point of contact for the Executive, handling enquiries and filtering information allowing the executive to focus on strategic initiatives. Key Responsibilities Executive & Administrative Support Manage complex calendar scheduling, ensuring alignment with business priorities and minimizing conflicts. Coordinate domestic and international travel arrangements, including detailed itineraries, visa applications, and travel documentation. Prepare and submit expense reports in compliance with company policies, ensuring accuracy and timeliness. Draft, edit, and assemble high-quality presentations and reports using PowerPoint and Excel, ensuring clarity and professionalism. Maintain organized filing systems and accurate records, ensuring easy retrieval of information. Act as a communication liaison, screenings, and managing correspondence. Handle general administrative duties such as photocopying, filing, and correspondence, ensuring smooth office operations. Team & Business Coordination Organize and facilitate local Senior Management Team (SMT) meetings, including Organize and facilitate local Senior Management Team (SMT) meetings, including agenda preparation, minute-taking, and follow-up on action items to ensure accountability. Consolidate and distribute weekly and bi-weekly business updates for senior executives, ensuring timely and accurate communication. Conduct basic research and data analysis to support departmental needs, providing actionable insights. Employee Experience & Engagement Serve as the “Employee Engagement Ambassador” for the Japan office, representing local interests in global forums and advocating for employee needs. Partner with The Content Group Head office team and HR to design and deliver internal events (e.g., town halls, floor updates) and employee experience initiatives, enhancing workplace culture. Translate and localize employee communications from the UK as needed, ensuring cultural relevance and clarity. Provide feedback to global teams on local engagement needs and cultural nuances, promoting a globally inclusive environment.
